Refund & Cancellation Policy

Introduction
This policy explains how TabeebHub handles refunds and cancellations for our clinic management SaaS subscriptions and for payments collected through our certified electronic payment gateway.
This policy is published in a prominent place on our website and app, and you must review and accept it (together with our Terms and Privacy Policy) where required before completing an online payment.
Digital SaaS Service
TabeebHub is a fully digital service: there is no physical shipment. The product is access to the software and features under your subscription plan after payment is successfully confirmed.
Prepaid Subscriptions
Paid subscriptions are charged in advance for each billing period (monthly or annually, depending on your plan). Fees are not automatically refunded simply because you used the service less during a period you already paid for.
Cancelling your subscription stops future renewals only. It does not, by itself, entitle you to a refund for the current prepaid period unless you meet the eligibility rules below.
Refund Eligibility
We may consider a partial or full refund of subscription fees only if all of the following are true:
- You submit your request within 3–5 business days from the successful payment confirmation for the subscription start or renewal.
- You have not materially used the Platform — meaning you have not entered patient records, prescriptions, invoices, or operational visits in a way that shows substantial benefit from the service (assessed using reasonable evidence from our logs).
- There is no open dispute, chargeback investigation, or fraudulent activity associated with the account or payment.
Approved refunds are processed back to the original payment method through the gateway—not in cash—in line with the payment provider and bank procedures.
We will not refund any amount that has not yet been fully collected or settled through the gateway.
When Refunds Are Not Available
Refunds are generally not available when:
- You have materially used the Platform as described above.
- More than 3–5 business days have passed since payment confirmation.
- There is a breach of our Terms, abuse, or misuse of a trial or promotional offer.
- Gateway or bank fees that were already withheld may not be refundable; any approved refund may be limited to the net amount recoverable under provider rules.
Cancellation
You can turn off auto-renewal from your billing or subscription settings in the Platform where available. Access continues until the end of the period you already paid for.
For card and wallet payments, additional time limits may apply under our gateway provider's rules (including a typical maximum window of 90 days for standard refund requests on some card channels, with exceptions for disputes raised by card schemes or authorities).
Chargebacks & Disputes
TabeebHub (as the merchant of record for subscriptions) is responsible for fulfilling refund requests relating to our SaaS fees. The payment gateway does not set our commercial refund policy for subscription access.
If a refund or chargeback is initiated and there are insufficient funds available in our gateway balance to cover it, we may be required to fund the shortfall within 3–5 days of notice, consistent with standard merchant obligations toward the payment provider.
For disputes, we may be asked to provide proof of service delivery (access logs, payment confirmation, email receipts, and similar records) within deadlines set by the payment provider or bank (often up to 7 days where applicable).
Electronic Payment & Gateway Rules
Subscription pricing is shown before payment—no hidden fees on our checkout. Electronic payments are processed through a certified provider; settlements may be temporarily held if a transaction is suspected to be unauthorized or fraudulent until an investigation is completed.
